What we collect when you contact us or register a player, why, and the choices you have.

Riverside United ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through this website and app, how we use it, and the choices you have.

Information We Collect

Information you provide to us

  • Parent/guardian information: name, email address, phone number and home address, plus the name and phone number of an emergency contact.
  • Player information: each child's name, date of birth, gender, age group, shirt and shorts size, and any medical conditions, allergies or medications you tell us about, along with other details you submit through our forms or registration flows.
  • Waiver records: when you register, we keep your typed electronic signature, the date and time you signed, the version of the waiver you signed, your photo/video release choice for each player, and the IP address you signed from. We keep these as proof of your agreement.
  • Messages and inquiries: information you include when you contact us by form, email, phone, or text.
  • Payments and checkout: if you purchase a plan or pay fees, payment processing is handled by our payment provider. We may receive limited details such as payment confirmation, plan type, billing status, and transaction identifiers. We do not typically receive or store your full card number.

Information collected automatically

  • Device and usage data: IP address, browser type, pages requested, and similar server log information, which our hosting provider keeps for security and reliability.
  • Cookies and similar technologies: see "Cookies and Analytics" below.

How We Use Your Information

We use information we collect to:

  • Provide program information and registration, place players on teams, and communicate about schedules, updates, and participation.
  • Keep players safe, including using medical and emergency contact information if a player is hurt or ill.
  • Keep records of signed waivers and releases.
  • Process payments and manage enrollments, fees, and uniforms where applicable.
  • Respond to questions and provide customer support.
  • Use photos and videos of a player only as allowed by the photo/video release you chose for that player.
  • Improve our website, marketing, and user experience.
  • Protect against fraud, abuse, and security threats.
  • Comply with legal obligations and enforce our terms.

How We Share Your Information

Information is available to Riverside United coaches and administrators who need it to run the program. We may also share information in limited situations, such as:

  • Service providers who help operate our website and services, for example website hosting (Netlify), our registration database (Supabase), email delivery, and payment processing through our payment processor.
  • Legal and safety reasons if required by law, court order, or to protect rights, safety, and property.
  • Business administration such as accounting or professional advisors, as needed.

We do not sell your personal information.

Payments

When you pay for registrations or plans, your payment is processed securely by our payment processor. Your payment details are handled according to that provider's privacy and security practices. We keep records of transactions as needed for accounting and support.

Cookies and Analytics

Our website itself uses only essential cookies, for example to keep the administrator area secure. We do not currently use advertising trackers. If we add analytics to understand site traffic and improve our pages, we or our service providers may use cookies and similar technologies for that purpose, and we will update this policy. You can control cookies through your browser settings. Disabling cookies may affect how parts of the site function. Because we do not track visitors across websites, "Do Not Track" browser signals do not change how this site works.

Communications and Text Messages

If you provide your email or phone number, we may contact you about registration, schedule changes, and program updates.

Email: You can opt out of non-essential emails by using the unsubscribe link (if included) or by contacting us.

SMS/Text: If you receive text messages from us, you can reply STOP to opt out.

Children's Privacy

Our program serves youth athletes, and information about a child is submitted by a parent or legal guardian. We do not ask children to create accounts or submit information to us directly. We collect child information only as needed for participation, safety and team placement (for example, name, date of birth, gender, clothing sizes, and medical information you choose to share). If you believe we collected information from a child inappropriately, contact us and we will address it.

Data Retention

We keep personal information only as long as reasonably necessary for program operations, recordkeeping, resolving disputes, and complying with legal obligations.

Security

We take reasonable measures to protect your information, including encrypted connections and restricted access to our database. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Your Privacy Rights (California)

If you are a California resident, you may have rights to request access to, correction of, or deletion of certain personal information, subject to applicable exceptions. You may also have the right to opt out of certain sharing as defined by California law. You can also ask us to change a player's photo/video release choice at any time.

To make a request, contact us using the information below. We may need to verify your identity before completing your request. Some records, such as signed waivers, may need to be kept for legal or insurance reasons.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
